The Team: Driving Women’s Health Innovations

You’ll be joining our newly formed Women’s Health Innovations (WHI) team, a program built on the conviction that accelerating access to high-quality health products for women and girls in low- and middle-income countries (LMICs) is essential for their well-being and productivity. Specifically, this vital program encompasses portfolios focused on:

  • Contraceptive technology
  • Vaccines and diagnostics for sexually transmitted infections (STIs)
  • Solutions for gynecological issues like bacterial vaginosis
  • Products for menstrual health and hygiene

Your Opportunity: Senior Women’s Health Program Assistant Role

We’re seeking a proactive and highly organized Senior Program Assistant to provide comprehensive administrative and organizational support to our Women’s Health Innovations team. This Seattle-based role is pivotal to our success, as it involves working closely with both internal and external stakeholders. Furthermore, you’ll report to the Deputy Director, Strategy Planning & Management (DDSPM), Women’s Health Innovations, Gender Equality, with a dotted line to the Senior Program Assistant on the WHI team.

What You’ll Do: Key Responsibilities for a Women’s Health Program Assistant

As a Senior Program Assistant, you’ll play a crucial role in the smooth operation of the WHI team. To illustrate, you will be responsible for:

  • Managing complex calendars for up to 4-6 principals, including meetings with participants across multiple time zones, both internal and external.
  • Prioritizing communications to ensure prompt responses to inquiries.
  • Providing high-quality interactions and clear, consistent communication with colleagues, grantees, and partners.
  • Coordinating logistics, scheduling, and planning for virtual and in-person events, including participant arrangements and material dissemination.
  • Playing a key role in fostering team culture, helping to design team-building and celebratory moments.
  • Actively participating in team meetings and events, and keeping a pulse on the team’s health and effectiveness.
  • Managing competing priorities through transparency, collaboration, and rigor.
  • Acting as a liaison with internal and external partners, grantees, government officials, and consultants – this often includes VIP interactions.
  • Coordinating daily workflow and project progress, ensuring clear roles, responsibilities, and timely delivery of tasks.
  • Providing operational support, such as knowledge management, maintaining organized virtual filing systems, creating meeting agendas, and capturing notes and action items.
  • Managing records and data, including Microsoft Teams pages, SharePoint sites, and tracking tasks and projects.
  • Working on special projects as needed, which may involve basic project management or research and analysis.
  • Performing other duties as assigned to support the team’s goals related to women’s health initiatives.

We’re looking for someone with:

  • Demonstrated administrative experience in an organization where complex scheduling and planning were central.
  • A highly proactive approach to identifying team needs and championing solutions.
  • Proven ability to set priorities and meet deadlines while managing multiple, competing demands.
  • Experience operating effectively in a constantly changing environment, able to positively respond to evolving assignments.
  • Excellent oral and written communication skills, with the ability to effectively engage with diverse internal and external contacts and adapt to various working styles.
  • Exceptional attention to detail.
  • The legal right to work in the United States without visa sponsorship.

Salary Range: For candidates located in Seattle, WA, the salary range for this Women’s Health Program Assistant role is $30.58 to $42.79 USD per hour. Our compensation philosophy balances competitive pay with our mission-driven goals, and consequently, new hire salaries typically fall between the minimum and midpoint of the range, depending on your skills, experience, and expertise.
