The Role: Supporting Latin America and Caribbean Leadership as an Executive Assistant

The Senior Executive Assistant (SEA) plays a vital role. Primarily, they support both the Latin America and Caribbean Regional Vice-President (LCRVP) and the Director, Strategy and Operations (DSO) at the World Bank. Crucially, this support happens in close collaboration with the Special Assistant to the LCRVP and other team members of the LCRVP Front Office. All are dedicated to delivering the LCRVP’s overall work program. Reporting directly to the LCRVP and DSO, the SEA works closely with the entire Front Office team.

Given the collaborative nature of this small team, strong interpersonal skills and a proactive approach are as essential as administrative expertise. Therefore, the selected candidate must be prepared for a highly dynamic and demanding environment, demonstrating unwavering dedication. This Executive Assistant position is critical for our operations.

Duties and Responsibilities of a Senior Executive Assistant

 

As a Senior Executive Assistant, your responsibilities will include:

 

Core Administrative Support

 

  • Providing comprehensive administrative support to the RVP and DSO, ensuring efficient workflow.
  • Moreover, managing the RVP’s calendar and prioritizing time effectively. This includes coordinating with the Special Assistant for meeting and travel preparations.
  • Handling all aspects of RVP travel schedules (flights, hotels, visas).
  • In addition, drafting and formatting correspondence, meeting briefs, and trip briefs independently.
  • Ensuring the quality and timeliness of administrative information from the Front Office. Furthermore, this includes adhering to guidelines for submitting documents to senior offices.

 

Coordination and Communication

 

  • Crucially, liaising with high-level contacts across the World Bank Group (President’s Office, Managing Directors, etc.) to coordinate meetings and activities.
  • Maintaining an effective network of internal and external contacts to support the LCRVPU’s needs.
  • Also, providing primary support to the RVP’s Front Office. This ensures successful delivery of Spring and Annual Meetings, bilateral meetings, events, and media engagements.
  • Independently, deciding and following through on appropriate dissemination of information to staff. This is done by sharing reports, status updates, and other information as necessary.
  • Arranging all aspects of the RVP’s travel schedules (flight/hotel reservations, visa requests, etc.). Indeed, this is done in close coordination with the RVP and Special Assistant.
  • Working closely with the Special Assistant, screening incoming correspondence and phone calls. This requires using judgment and discretion to direct inquiries or handle sensitive matters.

 

Additional Responsibilities and Leadership

  • Supporting HR-related activities, including approvals and logistics.
  • Furthermore, serving as a senior-level contact and liaison for a broad network.
  • Undertaking various ad hoc duties as assigned to ensure overall office operation. As the Front Office administrative point of contact for the Directors, the Senior Executive Assistant stays informed and maintains sufficient working knowledge of tasks performed in each unit. This allows for independent responses to inquiries and the exercise of critical thinking and decision-making skills.
  • Finally, serving as the TRS Coordinator: handles LARS and TRS issues and provides general staff support.

 

Selection Criteria for this Executive Assistant Role

Required Qualifications:

 

  • Minimum requirements: High school diploma (Bachelor’s degree preferred) and ten years of relevant experience or an equivalent combination of education and experience.
  • Furthermore, excellent interpersonal and intercultural communication skills. You should interact thoughtfully with all staff levels, demonstrating good judgment and discretion.
  • Experience dealing with senior officials both within and outside the Bank is a plus. Indeed, experience as a Senior Executive Assistant is advantageous.
  • Proven ability to maintain total discretion, confidentiality, and strong personal ethics.
  • Strong verbal and written English and Spanish language skills. You must draft and edit correspondence clearly.
  • Moreover, ability to work in a team-focused environment and fill gaps when needed.
  • Demonstrated proactivity, sound judgment, and problem-solving skills, especially under pressure.
  • A proven track record in reliability, resourcefulness, and flexibility. In addition, strategic thinking and emotional intelligence are key.
  • Positive demeanor, self-starter, and able to maintain composure under pressure.
  • Strong organizational skills, attention to detail, and the ability to multitask effectively.
  • Furthermore, ability to guide, coach, train, and advise more junior administrative staff.
  • Substantial World Bank experience and in-depth knowledge of Bank processes, policies, and procedures are essential. This applies particularly to institution-wide quality assurance and decision-making functions.
  • Excellent office technology skills, in particular, MS Word, Excel, PowerPoint, Outlook, SAP, Internet Explorer, and familiarity with AI tools.
  • Lastly, willingness and flexibility to work overtime on short notice as needed.
