Key Responsibilities of an Intake Specialist
As an Intake Specialist, you perform crucial duties, ensuring community members access needed support. Firstly, you manage reception services for the IRC Louisville office. You greet visitors, ascertain their needs, and direct them to appropriate staff or departments. You also manage visitor flow, especially during peak periods like open office hours.
Furthermore, you conduct eligibility screenings for walk-in clients, including parolees, SIVs, and secondary migrant refugees. Therefore, you must maintain up-to-date knowledge of eligibility criteria for all IRC programs. This covers Kentucky-funded, federally funded (like Matching Grant), and Temporary Assistance to Needy Families (TANF) programs.
Moreover, you enroll qualifying clients into programs. Conversely, you refer ineligible clients to suitable community resources. These include local social services departments, shelters, food banks, and crisis centers, as applicable. Importantly, you meticulously detail each client interaction, following established requirements. You also input client information into relevant databases and assist with tracking and reporting. Finally, you effectively collaborate with coworkers and partner organizations. You build and maintain strong relationships with area service providers, ultimately benefiting clients. You may also train and lead support staff, volunteers, and interns.

We seek candidates with relevant professional experience in human services. A minimum of 2 years’ experience is strongly preferred. Experience working with refugee and/or immigrant populations also receives strong preference.
Demonstrated skills and competencies are crucial for this Intake Specialist position. You need strong relationship-building, diplomacy, and networking abilities. You must effectively build internal and external relationships. As a self-starter, you will possess excellent problem-solving skills. You must also effectively multi-task, prioritize duties, and manage time. Attention to detail and accuracy in your work product are paramount. You must speak and write fluent English. However, proficiency in languages spoken by IRC’s clients (including Kinyarwanda, Swahili, Somali, Arabic, Burmese) is desired. You should proficiently use Microsoft Office applications (Word, Excel, Outlook). Additionally, you must use the internet and other digital tools for data entry, research, and problem-solving. Finally, you need a valid driver’s license and access to a personal, insured vehicle.
